1. Who we are

2. Information we collect

We collect information you choose to give us, and some information collected automatically when you use our website.

Forms and bookings: your name, email address, phone number, business name, and details about the services you are interested in, when you fill out a form or book a call.
Website chat: the messages you type and any contact details you share with our chat assistant.
Phone calls: when you call us, your phone number and what you tell us during the call. Calls may be recorded (see Section 4).
Text messages and email: the messages you send us.
Information collected automatically: your device and browser type, pages visited, the website that referred you, and general location based on IP address. We use cookies and similar tools for this (see Section 7).

We do not intentionally collect health, financial account, or government ID information through our website, chat, or phone assistant. Please do not share it with us through these channels.

To respond to your questions and requests.
To schedule, confirm, and remind you about appointments.

To send you text messages or emails you have agreed to receive, including marketing messages only if you have opted in.

4. AI assistants and call recording

We use AI assistants to answer some website chats and some phone calls, including our assistant "Belle." Our AI assistants always identify themselves as AI, not a human. They answer questions using information we have approved, can book appointments, and can take messages. A human (Annabelle) reviews the conversations and summaries.

Call recording: Calls to our business line may be recorded and transcribed, and a summary may be saved to your contact record, so we can follow up accurately and improve our service. Our phone greeting tells you when a call may be recorded. If you do not want to be recorded, tell us at the start of the call and we will take a message instead, or email us.

We do not sell your personal information, and we do not allow AI providers to use your personal information to train their public models.

5. SMS / text messaging

By providing your cell phone number and checking the consent box on our forms, you provide express written consent to receive periodic SMS/text messages from Virtual Assistants Agency and Sovereign Intelligence Factory.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. *All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Message and data rates may apply. Message frequency varies. You may opt-out at any time by replying STOP to any text message. Reply HELP for help, or contact [email protected] or 414-441-4839.

6. How we share information

We do not sell or rent your personal information. We share it only:

With service providers who help us run our business, such as our CRM and website platform, calendar, email, phone and SMS providers, and AI service providers. They may use it only to provide services to us. This sharing never includes text messaging opt-in data or consent (see Section 5).
When required by law, or to protect our rights, safety, or the safety of others.
With your permission.

7. Cookies and analytics

Our website uses cookies and similar technologies to remember your chat session, understand how visitors use the site, and keep the site secure. You can block or delete cookies in your browser settings. Some features, like the chat, may not work without them.

8. How long we keep information

We keep your information as long as needed for the purposes in this policy, for example while you are a lead or client and for a reasonable time after, unless a longer period is required by law. You can ask us to delete it (see Section 10).

9. How we protect information

We use reasonable administrative, technical, and physical safeguards, and we limit access to people and systems that need it. No method of transmission or storage is 100% secure.

10. Your choices and rights

Text messages: reply STOP to opt out at any time.
Email: use the unsubscribe link in any marketing email.
Access, correction, deletion: email [email protected] to ask what information we hold about you, to correct it, or to delete it. We will respond within a reasonable time.

Washington residents: We do not intentionally collect "consumer health data" as defined by Washington's My Health My Data Act. If you believe we hold such data about you, contact us and we will review and respond to your request.

11. Children

Our services are for businesses and adults. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.

12. Changes to this policy

We may update this policy. We will post the new version on this page with a new effective date.
